The January W-4 Review Checklist
January is ideal — before the first paycheck of the year. Also run within 30 days of any major life change (marriage, divorce, baby, new job, starting freelancing, major income change). Setting a recurring January calendar reminder ensures this never gets skipped.
January W-4 review checklist — 10 items, approximately 30 minutes
| Item | Check | Action If Wrong |
|---|---|---|
| 1. Filing status is current | Matches your expected 2025 filing status | Submit new W-4 with updated status |
| 2. Step 2 checkbox is correct | Checked only if two+ jobs or working spouse | Uncheck if situation changed; check if new situation applies |
| 3. Step 3 dependents are current | $2,000 per qualifying child under 17 this year | Add children born in 2024; remove children now 17+ |
| 4. Step 4a reflects all non-W-2 income | Expected investment, rental, freelance income for 2025 | Update with current year’s expected income |
| 5. Step 4b reflects current deduction plan | Excess itemized deductions above standard deduction | Update if mortgage payoff, charitable change, etc. |
| 6. Step 4c matches your current needs | Extra withholding still needed/accurate | Remove if life change eliminated the need; adjust amount if needed |
| 7. Prior year result was acceptable | Refund under $2,000 or balance due under $500 | If not: identify cause and fix corresponding W-4 step |
| 8. Employer has your current W-4 | Last submission reflects your current situation | Submit new W-4 if your situation changed last year |
| 9. IRS estimator result is satisfactory | Run irs.gov/W4app with 2025 expected info | Implement any W-4 changes recommended by estimator |
| 10. You’re prepared for any 2025 income changes | Anticipated raises, bonuses, side income, investment plans | Pre-adjust Step 4c if known large income changes are coming |
The most valuable items to check annually: prior year result (#7), filing status (#1), and dependents (#3). Filing status changes (marriage, divorce) are the most commonly missed. Dependents change as children age — a child who turns 17 in 2025 no longer qualifies for the $2,000 credit, requiring a W-4 update that removes $2,000 from Step 3.
