Running the Checklist at Each Quarter
Before each quarterly payment: (1) Sum income received during the quarter. (2) Verify this against your projected annual trajectory — adjust year-end estimate if significantly different. (3) Calculate the payment amount (actual or safe harbor). (4) Pay via Direct Pay or EFTPS by the due date. (5) Save the confirmation number and record the payment in your accounting software.
On the first of each month: (1) Check the balance in your tax reserve HYSA. (2) Verify it’s growing at the right rate (28% × monthly revenue). (3) Confirm the next quarterly due date on your calendar. This 5-minute check prevents the most common quarterly tax failure: spending the tax reserve on non-tax expenses.
